If any of it lands, the call will be worth 20 minutes. We work with mid-market companies (50–500 staff) in services, manufacturing, financial services, and operations-heavy SaaS — across DACH and CEE.

"My team is drowning. AI is a board topic. I have no idea where to start."

  • More revenue means more headcount. Margins stay flat.
  • Your best people spend half their week on reporting, summaries, data entry, coordination.
  • Quoting takes days, not hours. Competitors who've automated are responding faster, delivering faster, winning more.
  • Board asks for an AI roadmap. You don't have one — and don't trust the ones you've seen.
What you'll leave the call with: three concrete projects ranked by payback period, not a strategy deck.

Operations & finance

"Show me the numbers. I've burned €60K on a pilot already."

  • You're paying senior salaries for junior-level tasks.
  • You don know which department is your most expensive bottleneck.
  • Operating costs creep 8–12% a year. Headcount is the biggest line. The math is obvious.
  • You can't justify AI investment without a clear ROI model and a fixed price. You need a thesis you can defend at the next audit committee.
What you'll leave the call with: conservative payback math you can take straight to your CEO or board.

CTO · Head of IT
Technology & security

"I'm sceptical. Shadow IT, GDPR, integration debt. Convince me."

  • Leadership wants AI now. You're the one who handles the fallout after.
  • Your team's backlog is full — there's no internal capacity for AI projects in the next 12 months.
  • Sales is buying SaaS without telling you. AI tools are the next wave of shadow IT.
  • Every vendor promises "seamless integration." None knows your stack, or security policies.
  • You need to keep code, data, and IP inside walls you control.
What you'll leave the call with: an architecture sketch — EU-hosted, your stack, your code repo, no vendor lock-in.
00:00–02:00

Your one-process snapshot.

You bring one workflow you suspect is wasting time. We don't need slides — a 60-second description is enough. Most clients pick invoice ops, customer support, sales-ops, or field-data entry.

You talk
02:00–08:00

Live process teardown.

We map the workflow on a shared canvas. We name where AI fits — and, more importantly, where it shouldn't. You'll see at least three concrete automation candidates and the ROI math behind each.

We work
08:00–14:00

Two more processes, applied.

We extend the model to two more workflows in your business — usually adjacent to the first. By minute 14 you have a portfolio view of where AI moves the needle for your specific operation, not generic case studies.

Together

90-day roadmap & honest verdict.

We sketch a 90-day sequence: what to do in week 1, week 4, week 12. If your business isn't ready for AI yet, we say so — and tell you what to fix first. About 1 in 5 calls ends with "not yet."

03 · Your Industry

We know your industry's
specific bottlenecks.

We don't sell generic AI. We solve the specific, expensive manual problems that are unique to your type of business.

Marketing agencies are drowning in manual reporting.

Your account managers spend the last week of every month assembling client reports — pulling data from 7 ad platforms, building decks, writing commentary. That's 15–25 hours per client, per month. With 20 clients, that's one full-time employee doing nothing but copy-pasting data.

The agencies that automate this first are taking on 30% more clients without hiring. They're delivering reports on the contractual date, not 6 days late. And their account managers are doing strategic work — not spreadsheet work.

What we build: An automated reporting pipeline that connects to all your ad platforms, normalises the data, generates the first draft of commentary, and produces an editable slide deck. Your team reviews and adds strategy. The data assembly is done by 11am on Day 1 of the reporting cycle.

How your first 90 days look.

Four stages. Fixed prices. You decide at every gate whether to continue. Most clients run all four; about 30% stop after the Quick Win and run the rest internally — that's a feature, not a failure.

05 · Why Apexa

Four commitments
most consultancies won't sign.

Read these as contracts, not promises. They're in our standard MSA — ask any client.

01 — Code ownershipContract clause

You own every line of code we ship.

Source repo lives in your GitHub or GitLab from commit one. You can fork us out tomorrow. Most consultancies hold the code in their tenancy and bill maintenance — we don't.

Questions we get
on every call.

Answered here so you don't have to. If yours isn't listed, ask Richard on the call — that's literally what the call is for.

What does the free Clarity Call actually involve?+
It's a 20-minute live session with Richard (APEXA's founder). You bring one process you suspect is wasting time. We do a live teardown on a shared canvas, identify three automation opportunities, calculate a conservative ROI for each, and give you a 90-day roadmap. You receive a written recap PDF within 24 hours — yours to keep, regardless of whether you proceed. No sales pitch. No commitment.
Is the Clarity Call a sales call?+
No. We don't pitch packages on it. The output is a written recap with three named opportunities, ROI math, and a 90-day roadmap — yours to keep whether you hire us or not. About 1 in 5 calls ends with us telling the client they're not ready yet and what to fix first.
What if you don't find €100K in savings?+
Then we tell you that on the Clarity Call — for free. We will not sell you a Readiness Sprint if the math doesn't work. About 15% of Clarity Calls end with "not yet" — either the company is too small, the processes aren't structured enough, or the ROI doesn't justify the investment. We'd rather tell you that now than take your money and deliver a disappointing result.
Is this GDPR-compliant? Where does our data go? What about Schrems II and the EU AI Act?+
Every system we build is GDPR-compliant by design. All production data is processed on EU-hosted infrastructure, or run inside your own tenancy. We publish Schrems II memos and EU AI Act risk classifications per project. No US sub-processors for production data, ever.
Who actually owns the code we build?+
You do — from commit one. The repo lives in your GitHub or GitLab tenancy. Licence is your standard internal licence (we sign whatever your legal team requires). You can fork us out tomorrow and the system keeps running. We charge implementation fees, not licence fees.
What does "15:1 ROI guarantee" actually mean in writing?+
In year one, total measured savings against an agreed baseline must be at least 15× our fees. The baseline is set together in the Readiness Sprint — the current cost of the process we're automating, measured in hours, headcount, and euros. If we miss the threshold at month 12, we refund the gap. Capped at fees paid; written into the standard SoW. Three engagements have triggered partial refunds — all under 8% of fees.
What size company is right for APEXA?+
Best fit: 20–500 staff, €5M–€200M revenue, in AT, DE, CH, CZ, or SK. Below 20 staff, the economics usually don't work — you're better served by off-the-shelf tools. Above 500 staff, we partner with a Big-4 systems integrator on the change management side; we do the technical build.
What if the project fails or stalls?+
Each stage has a fixed scope and a stop-gate. You can stop after the Readiness Sprint, after the Quick Win, or mid-Implementation — paying only for completed milestones. We don't sell retainers. Three of our last twelve clients stopped after the Quick Win and ran the rest with their own team; we're fine with that.
We have an internal IT team. Why do we need APEXA?+
Your IT team is your valuable asset and its backlog is almost certainly full of business specific operational tasks and core infrastructure work. AI automation is a specialized discipline — it requires expertise in LLMs, vector databases, workflow orchestration, and EU AI Act compliance that most internal IT teams don't have. We act as a specialized strike team: in and out in 6–8 weeks, full handover, your IT team maintains it afterward. We don't replace your IT team — we give them a production system they didn't have to build.
Why do you publish your prices? Most consultancies don't.+
Because hidden pricing wastes everyone's time. CFOs and CEOs at mid-market companies know roughly what a 6–8 week engagement should cost. Pretending otherwise means three more meetings before a quote. Our prices are fixed, public, and the same whether you find us via referral or this website. If you need a custom scope, we'll tell you that on the Clarity Call.
